What To Do When Missing a W2

It’s tax time, so you’re no doubt scrambling to put together all your tax forms. But what do you do if your employer has yet to provide your W2?
Employers are required to provide you with your W2 by January 31st. If you haven’t received yours by mid-February, you have reason for concern. Here are some tips…
 
  1. Contact your employer - The first thing you should do when missing a W2 is to ask your employer about the form. It’s possible they have an old address if you’ve moved, or the form got lost in email space. This is the easiest way to get your missing W2(s).
  2. Access your transcript - If your employer is unresponsive, login to your account online with the IRS and request a wage transcript. You can start at this link. Be sure to also request a transcript from the applicable state(s), as the IRS transcript will not list state income and withholdings figures.
  3. Contact the IRS - If the IRS site doesn’t have your transcript available, you’ll have to call the IRS at 800-829-1040. Be sure to have all your personal info available when you call, along with your employer’s info (including dates you worked at that job and an estimated of wages you were paid/taxes withheld). It’s helpful to have your final paystub on hand for your call as well.
  4. File on time - Regardless if you’re able to acquire your W2 by the filing deadline, you’ll want to file your taxes to ensure all taxes are paid. You can use Form 4852 as a substitute for your W2, using your best estimates. The IRS will then process using its verification processes. You can also file an extension; just remember an extension only gives you more time to file…it does not extend the time allotted to pay any taxes due in order to avoid interest/penalties.
